Data collected and purposes

  • Registration: title, first and last name, email, phone, institution, country, professional category and payment method, to manage your registration, invoicing and badge.
  • Payment: bank transfer receipts you upload (stored outside the public site, viewable only by you and the organisers), invoices and credit notes.
  • Accommodation, services and concierge: your bookings and requests (dates, places and details you provide).
  • Scientific abstracts: title, authors, affiliation and text, reviewed anonymously by the committee; accepted posters are published in the e-poster gallery.
  • Attendance: arrival at the welcome desk and badge scans at session entrances, to issue your training certificate.
  • Networking, if you turn it on: listing in the attendee directory and meetings.
  • Sign-in: email, single-use sign-in links and codes (only a fingerprint is stored), sign-in dates.

This processing is based on your congress registration, on accounting obligations for invoices, and on your consent for optional features (directory, sharing with exhibitors), which you can withdraw at any time.

Recipients

  • Exhibitors: only if you agreed to share your contact details, when an exhibitor scans your badge at their stand.
  • Other attendees: name, country, institution and category in the directory if you turned it on; your email only once a meeting is accepted.
  • Partner hotels: name, phone, email and stay dates, for rooms you book through the platform.
  • Laboratory: if a laboratory covers your registration, it may receive the invoice.
  • Technical providers: site host and email / SMS services, only to run the platform.

Your data is never sold or used for advertising.

Cookies

The site uses a single technical cookie, “atmo_session”, required to keep you signed in (30 days, not accessible to scripts). No analytics or advertising cookies. The Venue & access page shows an OpenStreetMap map loaded from openstreetmap.org, which then receives your IP address.

Retention

Your data is kept for the preparation and running of the congress, then for issuing certificates. Invoices and credit notes are kept for the period required by accounting and tax obligations. Other data is then deleted or anonymised.

Security

Password-free sign-in with a single-use link or code valid for 30 minutes; signed badges that cannot be forged; uploaded files stored outside the public site with access control; encrypted connection (HTTPS); administration restricted to organisers.

Your rights

You can access your data, have it corrected or deleted, object to certain processing, request a copy of your data and withdraw your consent to optional features (the directory can also be turned off from the Networking page).

To exercise these rights, write to: to be completed
